These roles can be combined if desired. Specific aspects of the role include:

Hall Booking Coordination:

  • Keep the scout hut booking diary up to date
  • Confirm availability and the price with individual hirers
  • Email booking form and  the instructions to potential hall / equipment  hirer
  • Arrange key collection and payments with the hirer
  • Make sure the hut is clean and clear of scout equipment for hirer to use
  • Liaise with regular hirers for their term dates and for adhoc bookings
  • Issue termly invoices to regular hirers
  • Deliver all the hire payments to treasurer

Facilities Coordination:

  • Liaise regularly with the cleaner to make sure the scout hut gets clean 3 times a week term times.
  • Raise / email monthly cleaning time sheet and email to cleaner
  • Deliver cleaner’s monthly payments
  • Purchase all the cleaning products and sundries as and when
  • Keep the expenses sheet up to date for payments and credits
  • Collect, wash and return tea towels and bathroom towels weekly
  • Liaise regularly with section leaders, maintenance person, group Chair and quartermaster for any problems
